1. Acceptance of These Terms
These Terms of Service (the "Terms") are a binding agreement between you ("you" or the "user") and Racdoc Technologies Inc., a corporation incorporated in British Columbia, Canada, based in Burnaby, British Columbia ("RacDoc," "we," "us," or the "Company"), governing your use of the RacDoc mobile and web applications and related services (the "Service").
You accept these Terms by checking the "I agree" box (or equivalent) at signup. If you do not agree, you may not use the Service.
2. Eligibility
You must be at least 18 years old to use the Service, and you confirm this at signup. The Service is intended only for adults and may not be used by anyone under 18. Where a minor's documents need to be kept in RacDoc, they should be managed by a responsible adult through that adult's own account.
3. Your Account
3.1 Account creation.
You may create an account using an email and password or a supported third-party sign-in (such as Google or Apple). You are responsible for keeping your login credentials and recovery method secure.
3.2 Recovery.
Because the Service is designed so that only you can access the contents of your vault, you are responsible for safely keeping your recovery method (such as your recovery phrase). If you lose your only means of access, we may be unable to restore access to your vault. We strongly encourage you to set up your recovery options when you begin.
3.3 Your responsibility.
You are responsible for all activity under your account.
4. Acceptable Use
You may store your own documents and documents of others that you are legally authorised to manage (for example, as a caregiver for a family member or under a power of attorney). You represent that you have the authority to upload and manage any document you add that belongs to another person.
You must NOT use the Service to:
- Upload illegal content, including child sexual abuse material or terrorist content;
- Upload stolen, forged, or fraudulently obtained identity documents;
- Upload another person's documents or private data without their authorisation;
- Commit fraud, identity theft, or any other illegal act;
- Attempt to breach, bypass, or defeat the Service's security or encryption;
- Reverse engineer, decompile, or attempt to extract the Service's source code; or
- Harass, threaten, or impersonate any person.
Enforcement.
We may suspend or terminate accounts that breach these rules. Where reasonable, we will give notice; for serious abuse (such as illegal content or attacks on the Service's security), we may suspend or terminate immediately and without prior notice to protect users and the Service.
5. Your Documents and Content
5.1 You own your content.
The documents and content you upload remain entirely yours. We claim no ownership of your content.
5.2 Limited licence to operate the Service.
You grant us only the limited rights necessary to operate the Service for you — for example, to store your encrypted data and, at your request, to process a document so the Service can suggest details such as the document type and expiry date.
5.3 Privacy by design.
The Service is built so that your documents are encrypted and we cannot read their contents. When you use AI scanning, your document is processed inside a secure hardware enclave with no human access, and it is not retained by the AI provider after processing. Our handling of your data, including where AI processing takes place, is described in our Privacy Policy.
6. Reminders and Automation — Important Limitations
Please read this section carefully. RacDoc reminders are a helpful aid, not a guarantee. You remain responsible for your own important dates.
RacDoc reminders and notifications are provided strictly as a helpful organisational aid and are not a substitute for your own tracking of important deadlines. You remain solely responsible for renewing your documents, licences, passports, and any other items on time.
We do not guarantee that any reminder will be delivered, will be on time, or will be accurate. To the maximum extent permitted by law, RacDoc is not liable for any loss or harm arising from a missed, delayed, failed, or inaccurate reminder, including any indirect or consequential damages (such as costs resulting from an expired document).
7. AI Scanning — Your Duty to Verify
RacDoc uses artificial intelligence to suggest document types, expiry dates, and other details. AI can make mistakes. The scan only suggests details and pre-fills a form; you must review, verify, and correct all AI-suggested information at the confirmation step before it is saved to your vault. You assume responsibility for any data you save without verifying it, and, to the maximum extent permitted by law, RacDoc is not liable for errors in automatically suggested data.
8. Subscriptions, Payments, and the Free Tier
8.1 Free tier.
RacDoc offers a free tier that includes 6 GB of storage and unlimited expiry reminders on every item you store, at no cost and with no time limit. Current free-tier details are shown in the app.
8.2 Premium.
We may offer optional premium features by paid subscription. Where premium is offered, current pricing and billing details are shown in the app and at the applicable app store at the point of purchase.
8.3 Billing and renewal.
Paid subscriptions are billed through the Apple App Store or Google Play Store and renew automatically until cancelled through your app-store account, in accordance with that store's terms. Cancellation takes effect at the end of the current billing period.
8.4 Refunds.
Because subscriptions are purchased through the Apple App Store or Google Play Store, those platforms' refund policies apply. RacDoc does not issue refunds directly; please contact the relevant app store for refund requests.
8.5 If a subscription ends.
If you stop paying for premium, your account returns to the free tier. Your stored documents remain accessible and your expiry reminders continue; only the premium features stop. You do not lose access to your files.
8.6 Changes to the free tier.
We intend to keep a free tier as described, including free expiry reminders. We reserve the right to modify the free tier's features or limits, giving at least 30 days' notice of any material change. You may stop using the Service if you do not accept a change.
9. Service Availability and Changes
9.1 "As is" and "as available."
The Service is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted or error-free operation, particularly for an early-stage product.
9.2 Changes to the Service.
We may modify features, storage limits, or pricing. For changes affecting active paid accounts or the free tier as described, we will give at least 30 days' notice by email or in-app notice; for paid pricing changes, you may cancel before the change takes effect.
9.3 Discontinuation.
If we ever discontinue the Service, we will give at least 90 days' notice. During that period you may export your data using the in-app export feature. After the shutdown date, data is permanently deleted in accordance with our Privacy Policy.

11. Intellectual Property
11.1 Our IP.
The RacDoc application, name, logo, branding, and code are the property of Racdoc Technologies Inc. You receive only a limited, personal, non-transferable licence to use the Service.
11.2 Restrictions.
You may not copy, reproduce, modify, decompile, reverse engineer, or create derivative works of the Service, nor use the RacDoc name, logo, or branding, without our prior written consent.
11.3 Your content.
As stated in Section 5, your documents remain yours; this Section does not affect your ownership of your content.
12. Third-Party Services
The Service relies on third-party providers to operate, including our AI processing and secure-enclave AI provider, hosting, authentication, storage, email, and messaging providers (such as AWS, Supabase, Resend, and Firebase Cloud Messaging), and the Apple App Store and Google Play Store for distribution, sign-in, and payments. We are not responsible for outages, changes, or acts of these third parties beyond our control. These providers are described further in our Privacy Policy.
13. Disclaimers
To the maximum extent permitted by law, the Service is provided without warranties of any kind, whether express or implied, including any implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the Service will be uninterrupted, secure against all threats, or error-free, or that reminders or AI-suggested data will be accurate or delivered.
14. Limitation of Liability
To the maximum extent permitted by law, RacDoc's total liability to you for any claim arising out of or relating to the Service is limited to the amount you paid us for the Service in the 12 months before the claim (which, for free-tier users, is zero). To the maximum extent permitted by law, RacDoc is not liable for any indirect, incidental, special, or consequential damages, including loss arising from missed reminders or document expiry.
15. Indemnification
You agree to indemnify and hold harmless Racdoc Technologies Inc. and its directors and personnel from any claims, damages, and reasonable legal costs arising from your breach of these Terms or your misuse of the Service — for example, uploading stolen or illegal documents, or infringing another person's rights.
16. Account Termination and Data
16.1 Your right to delete.
You may delete your account at any time from the Service's settings. Deletion is permanent, subject to the recovery window below.
16.2 Our right to terminate.
We may suspend or terminate your account for: breach of the Acceptable Use rules; illegal activity, a court order, or a lawful request by authorities; non-payment of a paid subscription; suspected fraud; or extended inactivity (more than two years for free accounts).
16.3 What happens to your data.
When an account ends (by you or by us), your data enters a 30-day recovery window, matching the Trash feature, during which export remains available. After 30 days, the data is permanently deleted and — consistent with the Service's encrypted, zero-knowledge design — cannot be recovered.
17. Privacy
Your use of the Service is also governed by our Privacy Policy, which explains what data we collect, how it is protected, and your rights. By using the Service, you acknowledge the Privacy Policy.
18. Your Local Legal Rights
Nothing in these Terms removes or limits any rights you have under the mandatory consumer-protection or data-protection laws of your own country that cannot legally be waived. Where such laws give you rights that these Terms cannot override, those rights continue to apply, and the disclaimers and limitations above apply only to the extent permitted by the law that applies to you.
19. Governing Law and Disputes
These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable there, subject to Section 18. Disputes will be resolved by the courts of British Columbia, unless your local law gives you a non-waivable right to bring a claim elsewhere.
20. Changes to These Terms
We may update these Terms from time to time. For material changes, we will give notice by email or in-app notice. Your continued use of the Service after a change takes effect means you accept the updated Terms.
